New users

If you are a new user, first of all: Welcome!
Here is some more information on the account creation process.

First of all, you should have received an email that your account has been created, with a link to our dashboard to finish your account setup. Following this link takes you to the dashboard to a page looking like this:

Going to the next page, you will be asked to set a password for your new account. This password should also meet the minimum requirements listed on the page. It should be noted that you can only set your password once with the link from your email.

After setting your password, you will receive a confirmation that it has been set and you will be asked to configure Two-Factor Authentication (2FA) for your account.

An important note: The QR code will only be shown once, if the setup is not completed you will have to contact our helpdesk (helpdesk@ocular.be) to reset the process.

On the 2FA page you will find a QR code that you have to scan with a 2FA compatible app (e.g. Google Authenticator or Microsoft Authenticator) on your phone.

If you need more info, we have documentation for both Google Authenticator and Microsoft Authenticator.

After you scan the QR code, you will get a time-based code in your authenticator app, which you can fill into the input field below the QR code.

After this, 2FA will be configured and you will be able to continue to the login screen.

And that’s it for setting up your new account, if you are still experiencing issues do not hesitate to contact our helpdesk at helpdesk@ocular.be.

Existing user - 2FA is not activated

Whenever you try to login without 2FA being configured on your account after our 2FA deadline, you will be redirected to the setup page. On this page you will be shown a QR code specific to your account that you will be able to scan with a 2FA app on your phone.

The setup QR code will only be shown once, if the setup is not completed you will have to contact our helpdesk (helpdesk@ocular.be) to reset the process.

If you need more info, we have documentation for both Google Authenticator and Microsoft Authenticator.

After you scan the QR code, you will get a time-based code in your authenticator app, which you can fill into the input field below the QR code.

After this, 2FA will be configured and you will be able to continue to the login screen.

Existing user - 2FA is activated

When you login to the dashboard and have enabled 2FA, you will first be redirected to a page where you will be asked for the time-based code from your authenticator app.

Scanning the QR code - Google Authenticator

After downloading and setting up the Google Authenticator app from either the App Store or Play Store, you will be presented with the following page on your phone where you can add an account.

Clicking on “Scan a QR code“ will open your camera, allowing you to scan the code on your screen. After scanning the code, your Xperify account will be added to the list of accounts.

The six digit code shown on your phone can then be used to complete the setup and log in on your account.

Scanning the QR code - Microsoft Authenticator

After downloading and setting up the Google Authenticator app from either the App Store or Play Store, you will be shown a list of your accounts. Click the + icon on the top right to add an account, the following screen should be shown.

Click on “Other”, this will open your camera where you will be able to scan the QR code, after scanning the code your Xperify account should show up with your other existing accounts in your authenticator app.

This code can then be used to complete the 2FA setup and log in on your account.

Further password changes

With our implementation of 2FA, we have also further increased the requirements of your password. For new users, these changes will take effect immediately. If you already have an account, these changes will take effect the next time you set a new password.

As an extra security measure for existing (and new) users, you will have to reset your password every 180 days to a new password. New users will have this measure added to their accounts immediately, whilst existing users have a deadline untill the 28th of august, 2024. After that date, existing users will be logged out and forced to set a new password with updated requirements.

The new minimum requirements of password are:

  • minimum 12 characters

  • minimum 1 capital letter

  • minimum 1 lowercase letter

  • minimum 1 number

  • minimum 1 special character

  • a different password from your existing password
